8.1 Welcome to Publisher 2007
Welcome to Publisher, the page layout application that comes with MS Office. Well, what is this page layout application? Notice:
A page layout application is used for composing the pages of brochures, books, magazines, greeting cards, advertisements, and other publications.
PageMaker, QuarkXPress, Publisher, CorelDRAW are some of the well known page layout applications. CorelDRAW is basically a vector illustration (i.e., drawing) application but it can also be used as page layout application. If you want to typeset a book then your first choice should be perhaps PageMaker. If you want to typeset a magazine or a newspaper then your first choice should be perhaps QuarkXPress. If you want to typeset a brochure, a greeting card, or an advertisement without efforts then your first choice should be perhaps Publisher. Publisher comes with a large repertoire of templates to create advertisements, award certificates, banners, brochures, business cards, business forms, calendars, catalogs, envelopes, flyers, gift certificates, greeting cards, invitation cards, labels, letterheads, menus (i.e., hotel menus), newsletters, paper folding projects (e.g., origami), printed postcards, program cards (e.g., religious service program), resumes, signs, and so on. However, if you are ready to take efforts while creating these publications then you should also think of using CorelDRAW. Notice one more benefit of Publisher over CorelDRAW. Publisher is component of MS Office and hence it is tightly integrated with other components of MS Office, and it can be learned quickly.
Now let us start Publisher and take a bird’s eye view of templates available in it. Double-click the shortcut icon Publisher and opening screen of Publisher pops up on the screen as shown in figure 8.1. Notice the Publication-Types-pane on the left-side. It consists of number of buttons and each button corresponds to a particular category of templates. For example, if you click the button Greeting Cards then good number of template-icons ? which can be used to create fascinating greeting cards ? are displayed in the Central-pane. Then you can double-click any template-icon and create a greeting card.
8.2 Creating a First Publication
Let us create our very first publication. What is this publication? A typical data file that we create and save in Publisher is called a “publication.” What document is to Word and workbook is to Excel, publication is to Publisher. In Publisher, you can create a publication using one of the methods given below:
1. Using a template. Click a button in the Publication-Types-pane (see figure 8.1). Double-click the desired template icon in Central-pane. Now Publisher generates a publication for you. This method is preferred to next method.
2. From a scratch. Click the close-catalog-button (figure 8.1) and main window of Publisher appears on the screen with a blank page as shown in figure 8.5. Now build your application as described in section 8.4.
Let us create a publication using template. Click the button Award Certificates in the Publication-Types-pane located on the left side. Now Central-pane displays the icons of various templates available in this category (i.e., award certificates). Double-click the template-icon Appreciation 3 and Publisher opens a publication based on this template with default name Publication1 in its main window as shown in figure 8.2. You must have noticed that the opening screen of Publisher (figure 8.1) is different from the main window of Publisher (figure 8.2).
Opening screen is the one that is displayed on the monitor when program is started. Main window of the program is the one where you carry on most of your work.
What you see in figure 8.2 is actually page 1 of publication. You can add more pages to this publication, if you want. But there is no need to do so. Now task-pane is not required, let us close it so that publication gets more space to work with. Click the close-button of the task-pane and it closes.
There are eight text-boxes and one picture frame on this publication. In Publisher text is placed in text-box and picture is placed in picture-frame. The dotted lines indicate the boundaries of text-box or picture-frame. Now we will write dates and name of recipient on this certificate. Of course, you are permitted to make any change in this publication. You can even add or delete the text-boxes and picture-frames as per requirement. Place the mouse-cursor on the text-box Name of Recipient, so that it looks like a beam and click. Now this text-box gets selected and the text in this text-box also gets selected. When text-box is selected, eight selection handles appear around it. Also, when text is selected, it looks highlighted. Type the following text or type your own name (which replaces the selected text Name of Recipient):
Click the pasteboard to deselect the text-box. What is this pasteboard? Well, the area of main window enclosed between the rulers and scrollbars minus the area occupied by publication is called pasteboard (figure 8.3). Traditionally, while composing a page, composers place a page on the “pasteboard” which is cluttered with various text-items, picture-items, scissors, and gum bottles. Then text-items and picture-items are pasted on the page one by one to compose the page. Now with the arrival of computers, scissors and gum bottle are not required; we place text-items and picture-items on pasteboard and then copy and paste these items on page as per requirement. You can place text-items and picture-items on page or pasteboard, but only those items (or their portions) lying on the page appear in the printout as shown in the figure 8.3.
Now let us type the dates. Firstly, let us set the view to 100%. Click the drop-down-button on the Zoom tool on the Standard toolbar and a list-drops down. Click the list-item 100% and view changes to 100%. Place the mouse-cursor on the text-box Date (upper), so that it looks like a beam and click. Now text-box and text in it is selected. Strike the End key to deselect the text. This text-box is very small, therefore, you may wish to set the view to 200% for better visibility. Type the following text (date) so as to appear just after the default text in text-box Date:
: 23 Jan 2009
Repeat the above given procedure for lower text-box Date. Either text-box should look like as shown in the right side figure. Choose File | Print Preview and print preview of this publication appears on the screen. The dotted boundaries around text-boxes and picture-frames, and margins on the page do not appear in the print preview (and hence, in the printout). Now let us print this publication. Switch on the printer. Load papers in the paper tray. Ensure that printer is on line. Click the Print tool on the Standard toolbar. Now printer churns out nice printout of this publication.
8.3 Saving a Publication and Shutting Down Publisher
Now let us save this publication. Choose File | Save, or strike the key combination , or click the Save tool on the Standard toolbar and the dialog-box Save As pops up on the screen as shown in figure 8.4 (some portion of this dialog-box is cropped out to save the space). This dialog-box is very much similar to that of Word or Excel. Edit-box File name contains the default text Publication1 and it is selected. Type the following text in the edit-box File name (which replaces the selected text):
C:\\Publisher\\Myfirst
and strike the Enter key (or click the button Save). The current publication is saved in the file Myfirst.pub. Publisher attaches the extension .pub to every publication file it saves. Now we are about to shut down Publisher. However, before shutting down Publisher, always close all the open publications. It is good habit to do so. Choose File | Close (or strike the key combination ), and the current publication Myfirst closes. Now choose File | Exit (or strike the key combination ), and Publisher shuts down.
